What counts as a YR Rental Opportunity: Earlier approaches attempted to identify rental deals by filtering on deal names or opportunity titles in Zoho CRM. These proved unreliable — deals are named inconsistently, and a deal name alone cannot confirm that a rental product was actually quoted. The approach agreed upon with this reporting system is to ignore the deal name entirely and instead traverse the linked record chain: starting from the Deal, fetch all linked Quotations, then for each Quotation inspect the Product_Details line items. Each line item contains a nested product object; the product name field within that object is the authoritative source. A deal qualifies as a YR Rental Opportunity only when at least one product line across its linked quotes contains both "rental" and "yardramp" or "yard ramp" (case-insensitive, matched within the same product name). Freight lines, shipping charges, and purchase products do not contain both terms and are therefore excluded automatically. A deal with no linked quotes, or whose quotes contain only non-rental products, is not counted regardless of its stage or name.
Won Opportunities: A deal is classified as Won only when two conditions are both met: (1) a linked Sales Order exists containing a qualifying yard ramp rental product, and (2) that Sales Order is not classified as a Monthly Rental Charge — meaning it represents an initial placement, not a recurring monthly billing. The Rental_Order_Type field in Zoho is used as a negative filter only: records explicitly tagged Monthly Rental Charge are excluded. Records tagged Initial Order or left untagged are treated as initial placements, reflecting that this field was not consistently populated in earlier years. A qualifying quote must also exist on the deal confirming rental intent. Won Value represents the sum of qualifying rental product line amounts from that Sales Order, excluding freight and non-rental line items.
Lost Opportunities: A deal staged as Closed Lost in Zoho is included if any linked Quotation — regardless of quote status, including converted or dead quotes — contains a qualifying yard ramp rental product. Dead and converted quotes are included for lost deals because a quote at any stage confirms that a rental conversation occurred.
Open Opportunities: A deal in any active pipeline stage (Qualifying, Needs Analysis, Proposal/Price Quote, Pending, Verbal Commitment) is included if it has at least one active linked Quotation — excluding quotes marked Closed - Dead Quote or Closed - Converted to S.O. — containing a qualifying yard ramp rental product.
Win Rate: Calculated as Won ÷ (Won + Lost). Open opportunities are excluded from the denominator. This reflects the closing rate on resolved deals only.
Reporting Period & Grouping: Deals are grouped by the year their CRM record was created (Created_Time). The analysis covers 2021 through the current year to date. Pre-2021 data is excluded due to incomplete Sales Order records from that period. Won Value figures reflect initial rental order amounts only and do not include ongoing monthly rental revenue.
